Account costs and cashflow

A prop firm payout tracker for what you spend and receive

Keep account purchases and payouts alongside your futures trading journal. Compare received payouts with the costs you recorded, across firms and account sizes, so a profitable trading session does not get confused with money taken home.

Trading P&L and received payouts answer different questions

Trading P&L describes the results of your trades. A payout is a separate cash transaction. An account can show positive trading results while its owner has spent more on evaluations and resets than they have received in payouts.

For a cashflow review, choose a date range and compare received payouts with recorded account costs in that same period. A payout requested or approved is not necessarily money received. Keep your tracking dates consistent and reconcile them with your payment records.

Worked example: a $1,000 payout with account costs

These are fictional USD amounts for one review period, not a firm's prices, payout terms, or expected trading results.

Illustrative account costs and payout calculation in US dollars
RecordAmount
Two evaluations at $100 each$200
One reset$50
One activation fee$150
Total recorded costs$400
Gross payout$1,000
Received at a 90% trader split$900
Net recorded cashflow: $900 − $400$500

The $500 result is net cashflow from these records. It does not include taxes or any unrecorded costs. Do not subtract the split a second time if you have already entered the amount received.

How to track purchases and payouts in Edgetweak

  1. Record your account costs. Add purchase entries with the date, firm, account size, and amount. Include relevant evaluation purchases, resets, and activation costs in your records, and use notes to distinguish them.
  2. Add a payout to the correct account. Select the payout transaction type and account. Evaluation accounts cannot receive payouts in this workflow; check the account type first.
  3. Enter the amount and split consistently. For the example above, a $1,000 amount with a 90% trader split yields $900. If you enter the $900 already received, use 100% to avoid applying the split twice. Check any prefilled split against your actual transaction.
  4. Reconcile before comparing. Check dates, missing purchases, duplicate payouts, and payment amounts. Review the purchases, payouts, and net totals for the selected period, then compare firms using the same date range.

Questions about payout tracking

Does uploading trades also add my payouts?

Trade imports and purchase/payout records are separate workflows. Record cash transactions in Prop Firms; do not treat imported trading P&L as a payout. Read the CSV import guides for trade-history setup.

Does this connect to my bank or request a payout?

This workflow tracks transactions you enter. It does not initiate a payment, request a payout from a firm, or automatically reconcile a bank account.

Does a positive net total mean I am eligible for a payout?

No. Net cashflow describes your recorded transactions. Payout eligibility depends on your firm's current account terms and its own records. A cashflow total is not an eligibility check.
